1. Introduction

1.1System Overview

The University of Maiduguri (UNIMAID) Alumni Portal is a centralised digital platform developed to connect, engage, and empower all graduates of the University of Maiduguri. The portal serves as the official communication and management hub for the UNIMAID Alumni Association.

The system is web-based and mobile-friendly, accessible from any internet-connected device including smartphones, tablets, laptops, and desktop computers.

1.2Purpose of the Portal

The portal was developed to solve key challenges faced by alumni associations including scattered records, manual verification processes, lack of communication channels, and no secure voting mechanism. Its purpose is to:

  • Maintain a verified, searchable database of all UNIMAID graduates
  • Provide a self-service platform for alumni to manage their information
  • Enable the alumni association to communicate efficiently with all members
  • Facilitate transparent, secure elections for association leadership
  • Support alumni career development and peer mentorship
  • Manage membership dues, donations, and financial records

1.3How to Access the Portal

The portal is accessible via any modern web browser. To access the portal:

  1. Open your preferred web browser (Chrome, Firefox, Edge, or Safari)
  2. Type the portal URL in the address bar and press Enter
  3. You will land on the Home / Landing Page
  4. From here you can Register (new users) or Log In (returning users)

Note: The landing page is publicly visible. You do not need to log in to view general information, news, and chapter locations on the landing page.

1.4Supported Browsers & Devices

The portal is optimised for the following browsers and devices:

2. Registration & Account Setup

2.1Creating a New Account

If you are a UNIMAID graduate and have never registered on the portal before, follow these steps:

  1. Step 1Visit the portal and click the "Register" or "Join Now" button on the landing page.
  2. Step 2Fill in your personal details: Full Name, Email Address, and a secure Password (minimum 8 characters, include numbers and symbols for security).
  3. Step 3Confirm your password in the "Confirm Password" field.
  4. Step 4Read and accept the Terms of Use and Privacy Policy by checking the checkbox.
  5. Step 5Click the "Create Account" button to proceed.

✅ After submitting, you will be directed to an Email Verification step. Do not close or refresh the page.

2.2Email Verification (OTP)

After registering, the system automatically sends a One-Time Password (OTP) to the email address you provided. This is a 6-digit code used to verify your email.

  1. Check your email inbox (also check Spam / Junk folder)
  2. Find the email from UNIMAID Alumni Portal with the subject "Verify Your Email"
  3. Copy the 6-digit OTP code from the email
  4. Return to the portal and enter the code in the OTP input boxes
  5. Click "Verify" to confirm your email address

OTP Expiry: The code expires after a short time. If it expires, click "Resend OTP" to receive a new code.

2.3Completing Your Alumni Profile

After your email is verified, you will be prompted to complete your Alumni Profile. This is the most important step — your profile is what the admin uses to verify you as a genuine UNIMAID graduate.

Fill in the following required information:

Personal Information

Full name, date of birth, gender, phone number, profile photo

Academic Details

Faculty, Department, Programme, Degree Type, Graduation Year, Matriculation Number

Hall of Residence

Hall you lived in during your time at UNIMAID

Current Location

Country, State, City of current residence

Career Information

Current occupation, industry, employer name

Additional Details

Areas of interest, referral source, social media links

💡 Tip: The more complete your profile, the easier it is for the admin to verify your record and for fellow alumni to find you in the directory.

2.4Profile Verification & Approval

Once you submit your alumni profile, it enters a pending review queue. An administrator will review your details against the university's student records database to confirm that you are a genuine UNIMAID graduate.

The verification process typically includes:

  • Cross-checking your matriculation number with university records
  • Confirming your Faculty, Department, and Graduation Year
  • Reviewing your submitted profile for completeness and accuracy

You will receive an email notification once your profile has been approved or if the admin requires additional information from you.

2.5What Happens While Pending Approval

While your profile is awaiting admin approval, you can still access limited parts of the portal. Here is what you can and cannot do:

3. Logging In & Account Access

3.1How to Log In

  1. Go to the portal and click "Sign In" or "Login"
  2. Enter the email address you registered with
  3. Enter your password
  4. Click "Sign In"
  5. You will be redirected to your personalized dashboard

Security Tip: Never share your password. The UNIMAID team will never ask for your password via email or phone.

3.2Forgot Password

If you have forgotten your password:

  1. Click "Forgot Password?" on the login page
  2. Enter the email address associated with your account
  3. Click "Send Reset Link"
  4. Check your inbox for a password reset email
  5. Click the link in the email (link expires within 1 hour)

For security reasons, a confirmation message is shown regardless of whether the email exists in the system. Always check your spam folder if you do not receive the email.

3.3Resetting Your Password

After clicking the reset link from your email:

  1. You will be taken to the Reset Password page
  2. Enter your new password (minimum 8 characters)
  3. Confirm your new password in the second field
  4. Click "Reset Password"
  5. You will be redirected to the login page — sign in with your new password

3.4Signing In with Google

You can sign in or register using your Google account for faster access:

  1. On the Login or Register page, click "Continue with Google"
  2. Select your Google account from the popup
  3. Grant the requested permissions
  4. You will be logged in automatically

Note: If this is your first time using Google Sign-In, you will still be prompted to complete your Alumni Profile before accessing the full portal.

4. Dashboard & Navigation

4.1Dashboard Overview

After logging in, you are taken to your Dashboard — your personal hub within the portal. The dashboard displays:

  • A welcome message with your name and membership status
  • Quick statistics (upcoming events, new announcements, forum activity)
  • Shortcuts to frequently used features
  • Recent notifications and alerts
  • News feed with latest alumni news and updates

4.2Using the Sidebar Navigation

The sidebar (visible on desktop) is your primary navigation tool. It is organised into sections:

4.3Mobile Navigation (Bottom Tabs)

On mobile devices, the bottom navigation bar provides quick access to the most important sections:

  • Home — Dashboard
  • Directory — Alumni search
  • Events — Upcoming events
  • Forum — Community discussions
  • More — Opens an expanded menu with all other sections

Tap the "More" button to access Donations, Mentorship, Voting, Career, and Account Settings.

4.4Notifications & Alerts

The bell icon 🔔 in the top navigation bar shows your notification count. Tap it to view all notifications including:

  • Profile approval status updates
  • New event announcements
  • Election opening and closing alerts
  • Mentorship request responses
  • Membership payment confirmations
  • Admin broadcasts and messages

5. Managing Your Profile

5.1Viewing Your Profile

To view your profile, click "My Profile" in the sidebar or tap the profile icon at the top of the page. Your profile page displays all information you have provided, your membership status, and your Digital ID card.

5.2Editing Profile Information

  1. Navigate to My Profile → Edit Profile or go directly to the Profile Editor page
  2. Update any fields you wish to change
  3. Scroll to the bottom and click "Save Changes"
  4. A success notification confirms your changes were saved

Note: Core academic details (Matriculation Number, Graduation Year) may be locked after admin verification. Contact support to update these.

5.3Uploading a Profile Photo

  1. Go to your Profile page and click the camera icon or your current photo
  2. Select "Upload Photo" from your device
  3. Choose a clear, recent photograph (JPG, PNG — max 5MB)
  4. Crop if needed and click "Save"

Your profile photo is visible to other alumni in the directory and appears on your Digital ID card.

5.4Academic & Career Details

Academic and career information can be updated from your Profile Editor:

  • Academic: Faculty, Department, Programme, Degree, Graduation Year
  • Career: Current Job Title, Employer, Industry, Years of Experience
  • Skills & Interests: Areas of Interest, Professional Skills

This information helps the system match you with relevant mentors, job opportunities, and peers in your field.

5.5Contact & Social Media Links

You can add or update contact and social links in the Profile Editor:

  • Phone number (optional — only visible to admin)
  • LinkedIn profile URL
  • Twitter / X handle
  • Website or portfolio URL

5.6Privacy Settings

You can control what information is visible to other alumni in the directory through your Privacy Settings in the Settings page:

  • Show/hide your phone number from other alumni
  • Show/hide your email from the directory
  • Control social media link visibility

6. Membership & Digital ID Card

6.1Membership Plans & Tiers

The portal offers different membership tiers. Navigate to Membership → Plans to view the current options. Each plan includes different benefits such as event discounts, directory prominence, and access to exclusive resources.

6.2Paying for Membership

  1. Go to Membership in the sidebar
  2. Select a membership plan that suits you
  3. Click "Pay Now"
  4. Complete the payment using the available payment method
  5. You will receive an email confirmation of your payment
  6. An admin will review and activate your membership

Keep your payment receipt — you may be asked to provide proof of payment during the verification process.

6.3Checking Membership Status

To check your current membership status, go to Membership → My Status. The status can be:

🟡 PendingYour payment has been submitted but not yet reviewed
🟢 ActiveYour membership is confirmed and all features are unlocked
🔴 ExpiredYour membership has lapsed — renewal is required
⚫ NoneNo membership record found — subscribe to a plan

6.4Renewing Your Membership

When your membership is nearing expiry or has expired, navigate to Membership → Renewal. Follow the same payment steps as a new membership. Your account will remain active during the processing period.

6.5Your Digital ID Card

Active members can access their Digital ID Card from the sidebar under My ID Card. The card displays:

  • Your full name and profile photo
  • Membership ID number
  • Faculty, Department, and Graduation Year
  • Membership status and expiry date
  • A QR code for verification

You can download or print your Digital ID Card for use at alumni events and other official occasions.

7. Alumni Directory & Networking

7.1Browsing the Alumni Directory

The Alumni Directory is a searchable database of all verified, active alumni. To access it, click "Directory" in the sidebar. You must have an approved and active membership to browse the full directory.

7.3Viewing Another Alumni's Profile

Click on any alumni's name or photo card in the directory to view their public profile. The public profile shows information they have chosen to make visible. You can also send them a message from their profile page if messaging is enabled.

7.4Joining a Chapter

Chapters are regional or international branches of the alumni association. To join a chapter:

  1. Navigate to Chapters in the sidebar
  2. Browse the list of active chapters
  3. Click on a chapter to view details
  4. Click "Join Chapter" or contact the chapter coordinator listed

8. Events & Announcements

8.1Browsing Events

Navigate to Events in the sidebar to see all upcoming and past events organised by the alumni association and its chapters. Events include reunions, conferences, networking nights, seminars, and social gatherings.

8.2RSVPing to an Event

  1. Open an event listing by clicking on it
  2. Review the event details (date, time, venue, cost)
  3. Click "RSVP" or "Register for Event"
  4. Fill in any required fields (attendance count, dietary needs, etc.)
  5. Submit — you will receive a confirmation email

8.3Events Calendar View

The Events Calendar provides a month-by-month visual view of all scheduled events. Navigate to Events → Calendar. Click on any date with an event indicator to see the event details. You can switch between month, week, and list views.

8.4Reading Announcements

General announcements from the alumni association and university are available under Announcements in the sidebar. Announcements include important notices, election alerts, policy updates, and community news. Critical announcements are also sent to your registered email.

9. Career & Mentorship

9.1Browsing the Job Board

The Job Board displays job openings posted by fellow alumni and partner organisations. Navigate to Career → Job Board. You can filter jobs by industry, location, employment type, and experience level.

9.2Applying for a Job Listing

  1. Find a job listing you are interested in
  2. Click on the job to view full details
  3. Click "Apply" or follow the application link provided
  4. Some listings direct you to an external application system

9.3Finding a Mentor

  1. Navigate to Mentorship → Find a Mentor
  2. Browse or search for mentors by industry, expertise, or chapter
  3. Click on a mentor's profile to view their background
  4. Click "Request Mentorship" and fill in what you are seeking
  5. Submit your request and await the mentor's response

9.4Becoming a Mentor

  1. Navigate to Mentorship → Become a Mentor
  2. Fill in your areas of expertise and availability
  3. Submit your mentor profile for listing
  4. You will begin receiving mentorship requests from other alumni

9.5Managing Mentorship Requests

View and manage incoming or outgoing mentorship requests under Mentorship → Requests. You can accept, decline, or message the requester from this page.

10. Forum & Community

10.1Browsing Forum Topics

Navigate to Forum in the sidebar. Forum posts are organised by topics and categories. Browse through recent discussions or use the search bar to find specific topics.

10.2Creating a Forum Post

  1. Navigate to the Forum page
  2. Click "New Post" or "Start a Discussion"
  3. Enter a title for your topic
  4. Write your post content in the editor
  5. Select an appropriate category
  6. Click "Post" to publish

10.3Replying to a Thread

  1. Open a forum post by clicking on its title
  2. Read through the thread
  3. Scroll to the bottom and type your reply in the reply box
  4. Click "Submit Reply"

11. Donations & Campaigns

11.1Viewing Active Campaigns

Navigate to Donations → Campaigns to see all active fundraising campaigns. Each campaign shows its target amount, amount raised, and deadline. Read the campaign description to understand what the funds will be used for.

11.2Making a Donation

  1. Open a campaign you wish to support
  2. Click "Donate Now"
  3. Enter the amount you wish to donate
  4. Complete the payment process
  5. You will receive a donation receipt via email

11.3Viewing Donation History

View all your past donations under Donations → My History. Each record shows the campaign name, amount, date, and payment status. You can download individual receipts from this page.

12. E-Voting System

12.1Viewing Active Elections

Navigate to Voting in the sidebar. All elections that are currently open for voting are listed here with their start and end dates, the positions being contested, and the number of registered candidates.

Eligibility: Only verified, active members can participate in elections. Ensure your membership is active before an election opens.

12.2Entering Your Access Code

The UNIMAID voting system uses Access Codes for security. Before you can vote, you must enter a valid Access Code:

  1. Your Access Code will be sent to your registered email by the election administrator
  2. Open the active election from the Voting page
  3. Enter your Access Code in the field provided
  4. Click "Verify Code" to proceed

If you did not receive an Access Code, contact the alumni administrator.

12.3Casting Your Vote

  1. After your access code is verified, the Voting Booth opens
  2. Read the details of each position carefully
  3. Select your preferred candidate for each position
  4. Review your selections on the confirmation screen
  5. Click "Submit Vote"
  6. You will see a confirmation message — your vote is final and cannot be changed

✅ The system ensures one vote per eligible member per election. Your vote is anonymous and secure.

12.4Viewing Election Results

Election results are published after the voting period ends. To view results:

  1. Go to Voting → Elections
  2. Find the completed election
  3. Click "View Results"
  4. Results show vote counts and percentages per candidate per position

12.5Applying as a Candidate

If an election is open for candidate nominations, you can apply:

  1. Navigate to Voting → Nomination Portal
  2. Select the position you are applying for
  3. Fill in your candidacy statement and upload any required documents
  4. Submit your application for admin review
  5. Approved candidates will be listed on the ballot when voting opens

13. Support & Help

13.1Submitting a Support Ticket

  1. Navigate to Support → Help Desk or Support Tickets
  2. Click "Create New Ticket"
  3. Select the category of your issue (e.g., Profile, Membership, Voting, Technical)
  4. Describe your problem in the description field
  5. Attach any relevant screenshots if needed
  6. Submit the ticket — you will receive a ticket reference number

Track the status of your ticket from the Support Tickets page. An admin will respond within the support timeframe.

13.2Frequently Asked Questions

Before submitting a ticket, visit the FAQ page under Help Center. It covers the most common questions about registration, membership, voting, and profile management with step-by-step answers.

13.3Contacting the Alumni Office

For direct enquiries, use the Contact Us page. Fill in your name, email, subject, and message. The alumni office will respond to your enquiry by email within 2–5 working days.
